Qualifications/Duties:
Texas Health Resources System Services is currently seeking a Corporate Records Specialist to support the Governance department.

Location:
Arlington - Corporate Office
Requires some travel between THR entities

Education:
Bachelor's degree required
ABA-certified paralegal school diploma, certificate, or degree preferred

Experience:
Three years high level customer service experience required and
Experience communicating and interacting with senior level executives and external parties required
Legal experience, drafting meeting minutes, and data entry skills are preferred

Skills:
Demonstrated ability working on a team; ability to take direction from multiple individuals in the department.  
Exceptional attention to detail and organizational skills; excellent writing skills; excellent technical/computer skills; exceptional interpersonal and relationship-building skills at all levels from senior leadership to staff and external parties; exceptional written and verbal communication skills; must work with tight deadlines and be resourceful in understanding regulatory guidelines; can work with team or independently.

Job Duties:
Attends board and committee meetings across the System, some requiring travel, and drafts minutes and resolutions for those meetings. This includes management of tight deadline schedules and coordination of the minutes’ review and approval process with attorneys and entity/committee senior leadership.  Manages accurate record keeping of meetings including coverage of key points, correct action items, and attendance records.

Monitors board packet preparation for compliance with the Governance Plan, as well as regulatory, licensing, and accreditation requirements for assigned entities.  This includes the implementation and deployment of standard board meeting reports.

Coordinates the Corporate Entity Database related to record management of minutes, resolutions, and written consents with Corporate Records management.

Works with Governance Services regarding input and output of key data for reports, information, historical records and regulatory agencies.  Assists with the administration of the Texas Health Trustee Portal utilized by wholly-owned and contracted boards, as well as board committees and internal councils.  Provides technical support for end users of the Trustee Portal, including trustees, executive/senior leaders, and staff.  Provides technical support and data from the Governance database for Governance Department staff upon request.  Assists with the maintenance, tracking, and distribution/collection of iPads used by trustees during meetings.

Works with meeting coordinator regarding key governance services for board and committee meetings of Texas Health, joint ventures, partnerships ventures, and affiliated organizations to ensure efficient, well executed meetings. Key responsibilities include: agenda preparation, meeting materials gathering and preparation, invitations and communications with board and committee members as well as executive leadership and staff. Responsible for logistics of meetings including; booking meeting room, catering coordination, preparing and carrying out details and oversight of technology.  Communicates extensively with partners throughout the system.

Special projects and such other duties as assigned by Governance leadership.
